Why I only take 3 clients at a time
Every time I tell someone Web Dens only takes 3 projects at a time, there’s a pause. It sounds like something a business says when it can’t get work. So let me show you the arithmetic that got me here, because it isn’t a marketing device — it’s a capacity limit I ran into the honest way.
The maths of being everywhere at once
A website build that gets done properly needs roughly three uninterrupted weeks of my attention. Not three weeks of elapsed time — three weeks of actual focus, spread over four or five on the calendar because you have a business to run and can’t answer every question the hour I ask it.
Now put six of those side by side. Every context switch costs me twenty minutes of re-reading notes to remember which client wanted the booking form on the homepage and which one explicitly didn’t. Multiply that by a dozen switches a day and a meaningful slice of what you’re paying for is me remembering things.
At three, I don’t have to remember. I already know.
What agencies do instead
The agency answer to this problem is specialisation. Split the work into design, development, content and account management, hand each piece to a different person, and let the project manager hold the thread. It genuinely does let a company handle thirty clients at once.
It also means the person who heard what you said isn’t the person who builds it. Everything you asked for gets written down, summarized, ticketed, and handed on — and something is lost at every hop. You’ve experienced this. It’s why the first draft always comes back slightly wrong in a way that’s hard to put your finger on.
A project manager is a fix for a problem you only have because the company is big. You pay for the fix either way.
What the limit actually buys you
- Answers in hours. Not on Thursday’s status call, because there is no status call.
- No re-explaining. I know your business, your customers and why you hated the last site.
- An honest start date. If all slots are full I’ll tell you the real date rather than take a deposit and park you.
- Fewer revision rounds. Most revisions are corrections of misunderstandings. Remove the relay and most of them stop happening.
The catch, stated plainly
There is one, and I’d rather you hear it from me. Sometimes you’ll want to start and I won’t have room. If that happens I’ll tell you when I genuinely will, and if you can’t wait, I’ll point you at someone I’d trust with it. I’d rather lose the job than take it and do it badly.
